Lanthorn appointed ORS to act as Employer’s Representative for a retail fit out within the Fairgreen Shopping Centre.

Acting on behalf of the landlord, ORS provided independent oversight throughout the delivery process, ensuring the tenant’s proposals and construction works aligned with landlord requirements, statutory obligations, and the operational needs of a live retail environment.

Retail fit outs within operational shopping centres present particular risks for landlords, including compliance, coordination with existing building services, and protection of the landlord’s asset. ORS was engaged to manage these risks by reviewing tenant design and construction proposals, monitoring works on site, and ensuring all approvals, inspections and certifications were properly managed from design through to completion.

Working closely with the tenant team and landlord representatives, ORS facilitated clear communication and early resolution of queries or proposed changes, supporting an efficient and well-managed fit out process within the busy shopping centre environment.

Project Outcome

The JD Sports store at Fairgreen Shopping Centre has now been successfully completed and is open for trading.

Through structured oversight and proactive coordination, ORS ensured the fit out was delivered in line with landlord requirements and relevant statutory standards. Regular monitoring of construction activities and compliance checks helped minimise the risk of non-compliant works or future liability for the landlord.

At project completion, ORS confirmed that all required documentation and certifications were in place, supporting a smooth handover and protecting the long-term integrity and value of the landlord’s asset. The project demonstrates the value of an Employer’s Representative in managing tenant fit outs within complex, live retail environments.

Challenges & Solution

Delivering a tenant fit out within an operational shopping centre requires careful coordination and robust compliance oversight. Works must integrate with existing building services and neighbouring units while ensuring fire and life safety requirements and landlord standards are maintained throughout the process.

ORS addressed these challenges by reviewing tenant design and construction proposals at key stages, focusing on compliance with landlord requirements and the safe integration of works within the existing building. Where queries or design changes arose, ORS coordinated between the tenant team and the landlord to resolve issues early and avoid disruption or late-stage modifications.

A structured reporting and compliance process was implemented, providing the landlord with clear visibility of project progress, approvals and inspections. This proactive approach helped maintain programme certainty while ensuring the fit out was delivered in a controlled and compliant manner.
